Circulars

The Circulars module is your school’s official communication channel. Use it to publish notices, announcements, event reminders, and important updates. Circulars reach parents instantly through the Parent Portal, with optional SMS and email notifications.

Publishing a Circular

  1. Go to Communication → Circulars
  2. Click New Circular
  3. Fill in the details:
    • Title — a clear, concise heading (e.g., “Holiday Notice — Diwali Vacation”, “PTM Scheduled for 15th November”)
    • Content — the full text of the circular. Use the rich text editor for bold, italic, bullet lists, headings, and links
    • Audience — choose who should see this circular:
      • All Parents
      • Specific Classes (e.g., only Class 10 and Class 12)
      • Only Teachers
      • All (Parents + Teachers)
    • Attachment (optional) — upload a PDF or image (e.g., a scanned circular, event flyer)
    • Publish Date — publish immediately or schedule for a future date/time
  4. Click Publish
The circular appears in the Parent Portal (and Teacher Portal if selected) as soon as it is published.
For urgent notices, select All Parents as the audience and enable the Send SMS Notification toggle. This sends an SMS alert to all parent mobile numbers informing them of the new circular. SMS credits will be consumed.

Scheduling a Circular

To schedule a circular to go out at a specific time (useful for planning ahead):
  1. Follow the steps above to fill in the circular details
  2. Under Publish Date, toggle Schedule for Later
  3. Select the date and time
  4. Click Schedule
The circular will be published automatically at the chosen time. You can edit or cancel a scheduled circular before it goes live.

Managing Circulars

Viewing Published Circulars

Go to Communication → Circulars to see:
  • All published circulars, newest first
  • Status: Published, Scheduled, or Draft
  • Audience and number of views (how many parent accounts have opened it)

Editing a Circular

Published circulars can still be edited:
  1. Click the circular title
  2. Click Edit
  3. Make changes
  4. Click Save
Editing a published circular does not send another notification. Parents will see the updated content when they next open it. If the change is important, consider publishing a new circular referencing the update.

Archiving / Deleting a Circular

Old circulars are automatically moved to the Archive tab after 90 days (configurable in Settings). You can also:
  • Click Archive to manually move a circular out of the active feed
  • Click Delete to permanently remove a circular — use this only for duplicates or errors

Class-Specific Circulars

For notices that apply only to certain classes (e.g., “Class 10 Board Exam Schedule”):
  1. When creating the circular, under Audience, select Specific Classes
  2. Check the boxes for the relevant classes
  3. Only parents with children in those classes will see this circular in their portal

Circular Attachments

You can attach a file to any circular:
  • Accepted formats: PDF, JPG, PNG
  • Maximum file size: 10 MB
  • Parents can download the attachment from the circular in their portal
This is useful for attaching scanned notices, event schedules, or fee revision letters.

SMS and Email Notifications for Circulars

When publishing a circular, you can choose to notify parents:
  • In-App Notification — always sent, shows as a badge in the Parent Portal (free, no credits needed)
  • Email Notification — sends the circular title and a link to parent emails (consumes email credits)
  • SMS Notification — sends a short SMS with the circular title and a link (consumes SMS credits)
Check your notification credit balance in Settings → Notification Credits before sending large SMS blasts.

Teacher-Only Notices

To send a notice only to teachers (not visible to parents):
  1. Create a new circular
  2. Under Audience, select Only Teachers
  3. Publish
Teachers will see this in the Notices section of the Teacher Portal.

Frequently Asked Questions

Can parents reply to a circular? No. Circulars are one-way announcements. There is no reply or comment feature. For two-way communication, use the Support module or ask parents to contact the school directly. Is there a limit on how many circulars I can publish? No. You can publish as many circulars as needed. Only SMS and email notifications consume credits — the circular itself is free to publish. Can I see which parents have read a circular? You can see the view count (total number of parent accounts that have opened the circular). A full read-receipt list per parent is not available in the current version. How long do circulars stay visible to parents? Circulars remain visible in the Parent Portal permanently unless archived or deleted by the school admin. Parents can scroll through the circular history at any time.
