Transport

The Transport module helps you manage your school’s bus fleet — add vehicles, define routes and stops, assign students to routes, and give parents visibility into their child’s bus details.

Adding Vehicles

  1. Go to Operations → Transport → Vehicles
  2. Click Add Vehicle
  3. Fill in:
    • Vehicle Number — registration plate (e.g., KA 01 AB 1234)
    • Vehicle Name / Nickname — (e.g., “Blue Bus”, “Bus 3”)
    • Type — Bus, Van, Auto
    • Capacity — total seating capacity
    • Driver Name and Driver Mobile Number
    • Conductor Name (optional)
    • Insurance Expiry Date — helps you track renewals
    • Fitness Certificate Expiry (optional)
  4. Click Save Vehicle
You will receive reminders as the insurance or fitness certificate expiry date approaches. Configure reminder timing in Settings.

Creating Routes

A route is the path a vehicle takes, with named stops along the way.

Add a Route

  1. Go to Operations → Transport → Routes
  2. Click Add Route
  3. Enter:
    • Route Name (e.g., “Koramangala Route”, “North Zone”)
    • Assigned Vehicle — select from your vehicles
    • Description (optional — e.g., direction or area covered)
  4. Click Save Route

Add Stops to a Route

After creating the route:
  1. Open the route
  2. Under Stops, click Add Stop
  3. Enter:
    • Stop Name (e.g., Brigade Road Signal, Indiranagar Metro)
    • Sequence Number — order in which the bus reaches this stop (1, 2, 3…)
    • Pickup Time (morning)
    • Drop Time (afternoon)
  4. Click Save Stop
  5. Repeat for all stops on this route
Add stops in the order the bus picks students up in the morning. The drop order in the afternoon is typically the reverse. Parents see the pickup time for their stop in the Parent Portal.

Assigning Students to Routes

Once vehicles and routes are set up, assign students to their routes and stops:
  1. Go to Operations → Transport → Assign Students
  2. Search for a student by name or admission number
  3. Select their Route and Stop
  4. Optionally enter a Transport Fee (this can also be handled through a fee head in the Fee Structure)
  5. Click Save
Alternatively, from a student’s profile page:
  1. Open the student’s profile
  2. Click Edit
  3. Under the Transport section, select the route and stop
  4. Save

Viewing Transport Assignments

All Students on a Route

  1. Go to Operations → Transport → Routes
  2. Click a route name
  3. Under Assigned Students, see a list of all students on that route, grouped by stop
  4. This list can be exported and shared with the driver/conductor

Students Without Transport Assignment

  1. Go to Operations → Transport
  2. Click Unassigned Students
  3. See all students who do not have a transport route assigned
  4. Useful when onboarding new students mid-year

Transport Details for Parents

Once a student is assigned to a route and stop, parents can see:
  • Route name and vehicle number
  • Driver’s name and mobile number
  • Their child’s stop name
  • Morning pickup time and afternoon drop time
This information is visible in the Parent Portal under Transport.
If parents want to contact the driver directly, they can use the driver’s number shown in the portal. Make sure driver contact numbers are kept up to date when drivers change.

Removing a Student from Transport

If a student discontinues bus service:
  1. Go to the student’s profile
  2. Click Edit
  3. Under Transport, click Remove Assignment
  4. Save
The student is removed from the route’s manifest.

Frequently Asked Questions

Can a student be on more than one route? No. Each student can be assigned to one route and one stop at a time. If a student changes their route mid-year, simply update the assignment. Is there GPS tracking for buses? GPS live tracking is not currently built into Micron ERP. Parents see static schedule information (pickup/drop times). GPS tracking integration is on the product roadmap. How do I track transport fees separately? Create a “Transport Fee” head in your fee structure for the relevant classes. You can set it as optional and apply it only to students who use the bus service. See Fee Management for details. What happens to transport assignments when a student is promoted to the next class? Transport assignments are independent of class. Promoting a student to a new class does not change their route assignment. You only need to update it if the student actually changes route.
