Student Management

The Students module is the core of Micron ERP. Every student record is the anchor point for their class assignment, parent linkage, fee invoices, attendance records, and exam results.

Adding a Student

  1. Go to People → Students in the left sidebar
  2. Click the Add Student button (top right)
  3. Fill in the required fields:
    • Full Name — as it should appear on reports and certificates
    • Admission Number — your school’s unique identifier for this student
    • Roll Number — class roll number
    • Class and Section — select from the classes you have already created
  4. Fill in optional but recommended fields:
    • Date of Birth
    • Gender
    • Blood Group
    • Aadhaar Number (stored securely)
    • Mother Tongue / Religion / Category (SC/ST/OBC/General)
  5. Under Parent / Guardian, link an existing parent or create a new one
  6. Click Save Student
The Admission Number must be unique across your school. If you try to use a duplicate, Micron will show an error.

Importing Students via CSV

For bulk addition of students (recommended during initial setup):
  1. Go to People → Students
  2. Click Import (next to the Add Student button)
  3. Click Download Template to get the correct CSV format
  4. Open the file in Microsoft Excel or Google Sheets
  5. Fill in your student data — one student per row
  6. Save the file as CSV and upload it on the same Import screen
  7. Review the preview table and click Confirm Import

Always download a fresh template each time you import. Column order matters — do not add or remove columns from the template.

Editing a Student

  1. On the Students list page, click the student’s name to open their profile
  2. Click the Edit button (pencil icon) on the profile page
  3. Make the required changes
  4. Click Save
You can update class and section here to promote a student to the next class at the end of the year.

Filtering and Searching

  • Use the Class filter pills at the top of the Students page to view only one class at a time
  • Use the Search bar to find a student by name or admission number
  • Use the Section dropdown to narrow down within a class

Student Profile

Each student’s profile page is a complete overview:

Personal Details

Name, DOB, gender, blood group, Aadhaar, contact details, and address.

Linked Parent

Parent or guardian’s name and contact. Click to go to the parent’s profile.

Fee History

All invoices generated for this student, payment status, and outstanding balance.

Attendance Summary

Monthly and cumulative present / absent / late counts with percentage.

Exam Results

All exam scores entered for this student across subjects and terms.

Transport

Assigned vehicle and route (if the student uses school transport).

Deactivating a Student

If a student has left the school or transferred out:
  1. Open the student’s profile
  2. Click Delete (or Deactivate — this is a soft delete)
  3. Confirm the action
The student is removed from active class lists and attendance sheets. All historical records (fees, attendance, results) are preserved and can still be viewed by filtering Inactive Students on the Students page.
Deactivated students are not permanently deleted. Their fee dues and invoices remain active. If there are outstanding payments, collect them before deactivating.

Promoting Students to the Next Class

At the end of an academic year:
  1. Go to People → Students
  2. Select all students in a class using the checkbox
  3. Click Bulk Actions → Promote
  4. Choose the target class and section
  5. Confirm
This moves all selected students to the new class and updates their records for the next academic year.

Frequently Asked Questions

Can two students have the same admission number? No. Admission numbers must be unique within your school. Micron will reject duplicates during manual entry and CSV import. Can a student be linked to two parents? Currently, each student can have one primary parent/guardian linked. You can store the second parent’s details in the parent profile’s additional contacts section. How do I generate a student ID card? Go to the student’s profile and click Print ID Card. This uses the template configured in Settings → ID Card Template.
