Library

The Library module helps you maintain your school’s book catalog, issue books to students and staff, track returns, and identify overdue borrowings.

Setting Up the Library

Adding Books to the Catalog

  1. Go to Operations → Library
  2. Click Books → Add Book
  3. Fill in:
    • Title — full book title
    • Author(s) — author name(s)
    • ISBN (optional) — 10 or 13 digit ISBN
    • Publisher (optional)
    • Publication Year (optional)
    • Category / Genre — (e.g., Science, Fiction, Reference, Textbook)
    • Total Copies — how many physical copies your library holds
    • Shelf / Location — where the book is kept (e.g., “Shelf A3”, “Reference Section”)
    • Price (₹) — purchase price, for records
  4. Click Save Book
If you have a large catalog, use Import CSV to bulk-add books. Download the template, fill it in, and upload. The minimum required columns are title, author, and totalCopies.

Book Categories

Organise your catalog with categories:
  1. Go to Library → Categories
  2. Click Add Category
  3. Name it (e.g., Fiction, Non-Fiction, Science, Mathematics, Reference, Periodicals)
  4. Save
Categories make it easier to search and browse the catalog.

Searching the Catalog

  1. Go to Operations → Library → Books
  2. Use the search bar to search by title, author, or ISBN
  3. Use the Category filter to browse by type
  4. Each book entry shows: available copies / total copies, so you can see at a glance whether a book is available for issue

Issuing a Book

When a student or staff member borrows a book:
  1. Go to Operations → Library → Issue Book
  2. Search for the Member (student or staff member) by name
  3. Search for the Book by title or ISBN
  4. The system checks available copies — if 0 are available, it warns you
  5. Set the Due Date (default: today + your configured loan period)
  6. Click Issue
A borrowing record is created. The available copy count decreases by 1.
The default loan period is 14 days. You can change this in Library → Settings → Default Loan Period.

Returning a Book

When a book is returned:
  1. Go to Operations → Library → Return Book
  2. Search for the member or the book
  3. Find the active issue record
  4. Click Mark as Returned
  5. The system calculates whether the book is overdue and if any fine applies
  6. Collect the fine (if any) and confirm the return
The available copy count increases by 1 automatically.

Late Returns and Fines

If a book is returned after the due date, Micron can calculate a fine:
  1. Go to Library → Settings → Late Fine
  2. Set the Fine Rate (e.g., ₹2 per day)
  3. Save
When a late return is processed, the system shows the number of overdue days and the fine amount. The librarian can:
  • Record the fine as collected (cash)
  • Waive the fine with a reason

Viewing Current Issues (Books Out)

  1. Go to Operations → Library → Current Issues
  2. See a list of all books currently issued — member name, book title, issue date, due date
  3. Filter by Overdue to see only late returns
  4. Send a reminder to overdue borrowers: click Send Reminder (requires SMS/email notification credits)

Member History

To see all books borrowed by a specific student or staff member:
  1. Go to People → Students (or Teachers)
  2. Open the member’s profile
  3. Click the Library tab
  4. See the full borrow/return history with dates and any fines paid

Reports

Book Inventory Report

Shows all books, total copies, copies issued, and copies available. Useful for annual stock verification.

Issue Register

A log of all issues within a date range — who borrowed what and when.

Overdue Report

All books not returned by their due date, sorted by oldest first. Go to Library → Reports to access these reports. All reports can be exported to PDF or Excel.

Frequently Asked Questions

Can students see the library catalog themselves? Not currently from the Student Portal. The catalog is managed by the librarian or admin. A student-facing catalog search is on the product roadmap. What if a book is lost or damaged? Mark the issue as Lost / Damaged instead of returned. This removes the copy from the available count permanently and generates a fine/replacement charge based on the book’s price. Can a student borrow multiple books at once? Yes. By default, there is no limit. You can set a maximum books-per-member limit in Library → Settings → Max Books per Member. How do I handle periodicals (magazines, newspapers)? Create a “Periodicals” category and add entries for each magazine title. Periodicals typically do not get issued to members — mark them as Reference only in their book entry.
